Ontario Psychotherapy Benefits: What Your Workplace Plan Actually Covers

Most people assume booking therapy through workplace benefits is straightforward until they actually open their insurance portal and run into a wall of confusing fine print.
You see words like "Psychologist," "Social Worker," and "Psychotherapist." You see dollar amounts with weird percentage cutoffs. Suddenly, you're wondering if you're going to get stuck paying a $180 bill out of your own pocket.
Let's clear up how private therapy billing actually works in Ontario so you don't get hit with surprises.
The Elephant in the Room: OHIP
Let's get this out of the way first. OHIP does not pay for private virtual therapy.
If you want OHIP to cover mental health care, you have two real routes. You can see a medical doctor (like a psychiatrist), or you can get referred into a hospital outpatient clinic. The problem? Hospital waitlists across the GTA easily stretch anywhere from six months to well over a year. And family doctors, as great as they are, don't have 50 minutes every Tuesday to sit down and do talk therapy with you.
That is why private clinics exist. We fill that gap so you can start working on your life this week instead of next year. While private practices can't bill OHIP, most employer benefits pick up the tab.
The CRPO License: What Must Appear on Your Receipt
When you submit a claim through an app like Sun Life Lumino, Manulife, or Green Shield, an automated system checks your therapist's registration.
In Ontario, talk therapy is provided under three main colleges:
- Registered Psychotherapists (RP): Regulated by the College of Registered Psychotherapists of Ontario (CRPO). These clinicians focus specifically on talk therapy, CBT, ACT, and nervous system regulation.
- Social Workers (RSW): Regulated by the OCSWSSW.
- Psychologists (C.Psych): Regulated by the College of Psychologists.
Most major Canadian carriers now group Registered Psychotherapists into their standard mental health benefits. But policies vary. Before you book, check your benefits booklet for the words "Registered Psychotherapist." If you only see "Psychologist," call your provider. In many cases, CRPO therapists are covered under the same pool, but the app interface just hasn't updated its wording.
Four Things to Ask Your Insurer Before Your First Session
Don't guess. Call the 1-800 number on your insurance card or check your provider app and ask these four exact questions:
- 1What is my annual maximum? Most Ontario plans give you between $500 and $2,000 per year for mental health.
- 2When does that amount reset? Some reset on January 1. Others reset on your company's policy renewal date.
- 3Is there a per-session limit? This is where people get caught. Some plans pay 100% of the cost until the pool runs out. Others pay only 80%, or cap every session at a fixed dollar amount like $120.
- 4Do I need a prescription? Most modern plans don't need one, but a few older policies still demand a referral note from a family doctor before approving claims.
How Billing and Direct Deposit Work
Private virtual practices in Ontario use a standard pay-and-claim process.
After your video appointment ends, the clinic charges the card on file and automatically emails you an official PDF receipt. That receipt lists the therapist's legal name, CRPO license number, session date, and the specific service code.
You take that PDF, upload it to your insurer's app, and the claim usually gets approved automatically. The reimbursement hits your bank account through direct deposit within two to four business days.
What Happens If You Run Out of Insurance?
If you don't have workplace insurance, or if you burn through your yearly balance by autumn, you still get tax relief.
The Canada Revenue Agency recognizes Registered Psychotherapists in Ontario as authorized medical practitioners. Any therapy fees you pay out of pocket that were not covered by insurance can be claimed under the Medical Expense Tax Credit on your annual Canadian tax return. Keep your receipts in a digital folder so you can hand them to your accountant in the spring.
